We retain your service request information for a reasonable period to maintain service records and respond to any follow-up inquiries. Identity documents uploaded for all-keys-lost verification are deleted once ownership has been confirmed and the service is complete.

The only exception is if we are legally required to disclose information by law enforcement or a court order.

3. Pricing & Quotes

All prices are quoted upfront before any work begins. Quotes are based on the vehicle and service details you provide. If your vehicle's actual configuration differs from what was described, pricing may be adjusted — we will communicate any changes before proceeding.

KEYTRONIX never starts work without your explicit approval of the quoted price.

4. All Keys Lost — Ownership Verification

For all-keys-lost service, we are legally required to verify that you are the registered owner or authorized operator of the vehicle before generating replacement keys. You must provide valid government-issued photo ID and proof of vehicle ownership.

KEYTRONIX reserves the right to decline service if ownership cannot be verified.

5. Special Orders & Deposits

Parts or keys ordered specifically for your vehicle may require a non-refundable deposit. This will be communicated clearly before the order is placed. Deposit amounts will vary based on the part and supplier. Special order deposits are non-refundable once the order has been submitted to the supplier.

6. Liability

KEYTRONIX carries full liability insurance and operates with professional care. We are not responsible for pre-existing vehicle conditions, software issues introduced by third-party modifications, or failures unrelated to our service.

Our liability is limited to the value of the service performed. We are not liable for consequential or indirect damages.

7. Service Availability

KEYTRONIX operates on a by-appointment and availability basis. While we strive to respond quickly to all inquiries, we do not guarantee response times. For urgent situations, calling us directly is always the fastest option.

8. Governing Law

These Terms of Service are governed by the laws of the Province of Ontario and the applicable laws of Canada. Any disputes will be resolved under Ontario jurisdiction.

Where Your Data Goes

Your submission travels directly from your browser to our private server in an encrypted connection. It is then forwarded to our business email and accessible only to KEYTRONIX technicians. At no point does your data pass through, or get stored on, any third-party platform.

Why We Collect a VIN

Your VIN allows us to look up the exact key configuration, security system, and module specifications for your vehicle before we arrive. This prevents errors and ensures we bring the correct equipment and parts.

For all-keys-lost service, your VIN is also required by our professional obligation as a NASTF-registered entity to verify vehicle-key-owner matching before generating replacement keys.

Why We Request ID Documents

Identity verification for all-keys-lost service is an industry-standard security measure that protects vehicle owners. It ensures that replacement keys are only ever provided to the registered owner or an authorized person.

Documents you upload are stored in a private, access-restricted location on our server and are deleted once ownership has been confirmed and the service is complete.

You Are Always in Control

• Uploading identity documents is optional — it speeds up service, but is not required to book
• You can request deletion of your information at any time by calling 613-869-KEYS
• We will never contact you for marketing or promotional purposes
